Setting Up Your Notifications
Hear about the stuff that needs a human, without your phone buzzing all day.
Notifications are how Alivo tells you and your team when something needs attention, like a contact reply that needs a human answer, a voicemail, or an appointment that just got booked. Getting them right matters because the AI handles a lot on its own, and the alerts are your window into the moments where a person should step in. The good news is you do not have to design this from scratch. Alivo ships with recommended defaults, new teammates get them automatically, and tuning from there takes minutes. This page covers how notifications work at a high level and how they get dialed in during onboarding.
How Notifications Work
Every person on your team has their own notification settings, found on their profile under Settings and Team. For each type of event, you choose whether that person gets a text, an email, both, or neither. Texts include the lead's name and a link straight into the conversation. Emails carry more detail, like recent conversation history. There is also a business-hours option that holds text and email alerts until your open hours, so overnight activity does not wake anyone up.
Separate from text and email, Alivo keeps an in-app notification feed for most events, so nothing disappears just because an alert was turned off.
Start With the Recommended Defaults
Alivo's recommended setup turns on text and email for the alerts that usually need a fast human response, and leaves the quieter ones off. The ones that matter most for winning jobs:
- Reply (AI Off). A contact replied and the conversation needs a manual response from your team.
- Assistance Needed. The AI flagged that a human should step in.
- Goal Met. An agent finished its job, like booking an inspection or getting a document signed.
- Left Voicemail. A caller left a message.
Quieter events, like every new lead or every reply the AI sends on its own, stay off by default so your phone is not buzzing about things the system is already handling.
Rule of thumb: when in doubt, open a teammate's Notifications tab, click Reset to recommended, review the list, and save. New teammates get these defaults automatically when they are added.
Tune by Role
Once the defaults are in place, small adjustments by role go a long way. This is exactly the kind of thing your onboarding specialist covers during team training on your go-live call and refines with you afterward.

Two account-wide toggles are worth knowing about: you can scope a person's alerts to specific agents instead of all of them, and you can filter out notifications for calls that look like spam or disconnects.
Heads up: text alerts need a valid phone number saved on the person's profile, and anyone who replies STOP to an Alivo text is opted out until they opt back in. If someone says they are not getting texts, those two are the first things to check.
