How to Set Up Notification Preferences in Alivo
Set up text and email alerts for yourself and your team, and use Alivo's recommended defaults.
Notification preferences control how Alivo tells you when something important happens, like a new lead, a contact reply, or a task due today. Getting these right means your team hears about the stuff that needs a human, without getting buried in noise. This guide walks you through setting up notifications for yourself and for teammates, explains every notification type in Alivo, and covers how text and email alerts work.
Where to Find Notification Settings
All notification preferences live on the Team page in Settings.
- For yourself. Click your name at the bottom of the sidebar, then choose the option that opens your profile. You land on Settings, then Team, with your profile open. Or go to Settings, click Team in the left menu, find your name in the list, and click the edit icon.
- For a teammate. Go to Settings, click Team, find the person in the list, and click the edit icon next to their name. Company Admins and Organization Admins can edit anyone on the team. Everyone else can only edit their own profile.
In the edit window, open the Notifications tab on the left. That is where you turn text and email alerts on or off for each notification type.
Start With the Recommended Setup
At the top of the Notification types section, you will see three buttons: Select all, Deselect all, and Reset to recommended. We recommend clicking Reset to recommended when you first set up a user, or anytime you want a clean starting point.
That button applies Alivo's recommended defaults. It turns text and email on for the alerts that usually need a fast human response, and leaves quieter alerts off so your phone is not buzzing all day. New teammates also get these recommended defaults automatically when they are added to your account.
Rule of thumb: Click Reset to recommended, review the list, then click Save at the bottom of the window. The button updates the checkboxes on screen, but nothing is final until you save.
Text and Email Notifications
Each notification type has its own row with three columns: SMS, Email, and Business hours. Here is what each one does.
Text (SMS) Notifications
When SMS is checked for a notification type, Alivo sends a text message to the phone number on that user's profile. The text includes the lead's name, contact info, a short summary when available, and a link back into Alivo so you can jump straight to the conversation.
- Phone number required. The user must have a valid US phone number saved on their Profile tab. Without it, text alerts cannot be delivered.
- Opt-out. If someone replies STOP to an Alivo text, they are opted out of all SMS notifications. The Team list shows an "Opted out" badge next to their name. They will not receive texts until they opt back in.
- Short delay. Text alerts are sent a few minutes after the event. That small buffer helps batch rapid activity so you are not getting five texts for one conversation.
Email Notifications
When Email is checked, Alivo sends a notification to the email address on that user's profile. Email alerts work well for a fuller picture of what happened. They can include more detail than a text, like recent conversation history and upcoming follow-ups. Each email also links back to the contact in Alivo.
Business Hours Column
The Business hours checkbox controls when text and email go out, not whether they go out. If Business hours is checked for a notification type, Alivo holds text and email until your company's business hours, based on the schedule in your company settings. The in-app notification still appears right away.
Good to know: You can mix and match. For example, you might want a text for "Assistance Needed" but only an email for "Photo Received." Each row is independent.
Extra Notification Options
Above the notification types list, you will see two toggles that apply across the board.
- Notify for all agents. When this is on, the user gets notifications from every active agent in your account. Turn it off to pick specific agents instead. This is handy when a rep only works certain lead sources or territories.
- Filter spam / disconnect notifications. When this is on, Alivo skips text and email for calls that look like spam or disconnects. Useful if bad numbers are flooding your team.
At the bottom of the list, there is a separate row for Event confirmation (host only). This is only for users who host scheduled events. Turn on SMS and/or Email there if you want a heads-up when an attendee confirms their appointment.
All Notification Types in Alivo
Here is every notification type you can configure on the Notifications tab, what triggers it, and whether the recommended setup turns text and email on.

Who Gets Which Notifications
Most notification types go to everyone on the team who has that alert turned on. A few have special rules:
- Task (Follow Up). Goes to the person the task is assigned to.
- Sales Reps. Only receive notifications for contacts they own, not every lead in the account.
- Inactive teammates. Deactivated users do not receive any notifications.
In-App Notifications
Separate from text and email, Alivo keeps an in-app notification for most events. You can see these in your Notifications inbox inside the app. In-app alerts are not controlled by the SMS and Email checkboxes. Those checkboxes only control text and email delivery.
If you use the browser dialer (the softphone), you may also see a banner asking you to enable browser notifications. That is only for ringing on incoming calls when the Alivo tab is in the background. It is separate from the team notification settings on this page.
Setting Up Notifications for Your Whole Team
If you are a Company Admin or Organization Admin, work through each teammate's Notifications tab and click Reset to recommended for each person. Then adjust from there based on their role.
- Office managers and owners. Often want text on for Assistance Needed, Reply (AI Off), and Goal Met so nothing slips through.
- Sales reps. May only need alerts for their own contacts. Make sure their phone number is correct, and consider turning on Filter spam / disconnect notifications if they field a lot of calls.
- Production or scheduling staff. May care more about Event Scheduled, Event Rescheduled, and Event Canceled than about new lead alerts.
When a new teammate joins your account, Alivo applies the recommended defaults automatically. It is still worth opening their Notifications tab to confirm everything looks right for their role.
Keep in mind: Responding fast wins jobs. If your team relies on Alivo agents to answer leads instantly, the alerts that matter most are Reply (AI Off), Assistance Needed, and Goal Met. That is exactly what the recommended setup prioritizes.
Common Questions
Why am I not getting text notifications?
Check three things: SMS is checked for that notification type, the user has a valid phone number on their profile, and they have not opted out by replying STOP. Also confirm the teammate is still active on your account.
Can I turn everything off?
Yes. Click Deselect all, then Save. You will still see in-app notifications, but you will not get texts or emails unless you turn them back on.
Where can I see a history of notifications that went out?
Admins can check Settings, then Logs, then Notification logs. That page shows what was sent, to whom, and through which channel.
Do I need to set this up for every company I have access to?
If a user belongs to more than one company in Alivo, their notification checkboxes apply across all of them from this one screen.
The right notification setup is different for every team, but you do not have to figure it out from scratch. Click Reset to recommended, make small tweaks for each role, and save. Your team gets pinged on the stuff that needs them, and the rest stays quiet.
