Understanding Your Alivo Dashboard and Reporting
What every number on your dashboard means, how it is calculated, and where to find it.
Your Alivo dashboard is the home screen for seeing how your business is performing at a glance. It pulls together calls, texts, emails, appointments, lead sources, and agent results into one place so you can spot what is working without digging through individual contacts. This guide walks through every section of the dashboard, explains how each number is calculated, covers the three analysis tabs, and describes the Live Activity feed on the right side of the screen.
Where to Find It
Open Home from the main menu (the URL is your Alivo site root). On a desktop or laptop you get the full dashboard: featured metrics at the top, four activity cards, three analysis tabs below, and Live Activity in a sidebar on the right. On a phone you get a simplified version with the featured strip, the four totals, and a recent activity list. The analysis tabs are desktop-only for now.
Choosing a Time Range
At the top of the dashboard you can filter everything by time. Your options are:
- Last 24 hours, 7 days, 30 days, or 90 days. Rolling windows that end right now.
- All time. Counts every record with no start date. Sparkline charts still show the last 90 days so you get a useful trend line.
- Custom range. Pick any start and end date.
When you pick a fixed range (anything except All time), each activity card also shows a percentage change compared to the previous period of the same length. For example, Last 7 days compares to the 7 days before that. All time does not show a comparison label, even though the sparkline still uses the last 90 days of daily data.
Organization-Wide View
If you manage multiple locations under one organization, organization admins see a toggle to switch between This company and Entire Organization. Entire Organization rolls up numbers across every company you have access to. Sales reps always see only their own assigned leads and cannot use the organization toggle.
Featured Metrics at the Top
The blue banner across the top shows two headline numbers. Both are estimates based on your activity and a few assumptions you can adjust.
Estimated Revenue
This is a projection, not money already collected. Alivo calculates it as:
Total appointments in the period × your average job size × your close rate
By default the close rate is 30% and the average job size is $15,000. You can change both in the Dashboard assumptions settings (click the info icon next to either featured metric). If the result is under $10,000, the dashboard shows a dash and the note "More data needed to calculate" until you have enough appointments in the period.
Time Saved
This estimates how much staff time your automated texts and emails saved. The formula is:
(Total texts + total emails) × minutes saved per message ÷ 480
The result is shown in working days (480 minutes = one eight-hour day). The default is 5 minutes saved per message. If the total is under 10 hours (about 1.25 working days), the dashboard shows a dash until there is enough activity.
Good to know: Estimated Revenue and Time saved both use the same three assumptions: conversion rate, average ticket size, and minutes saved per message. Update them once and both numbers recalculate.
The Four Activity Cards
Below the featured strip are four cards: Total calls, Total texts, Total emails, and Total appointments. Each card shows a count for your selected time range, a small sparkline chart of daily activity, and (for fixed ranges) a percent change vs. the prior period.

The percent change on each card is ((current period − previous period) ÷ previous period) × 100. If the previous period was zero but the current period has activity, it shows 100% growth.
Sales reps only see calls, texts, emails, and appointments for leads they own. Organization admins viewing the entire organization see totals across all locations.
The Three Analysis Tabs
Below the activity cards is an analysis section with up to three tabs. Call Analysis only appears if you had at least one call in the selected period. The tabs are:
- Source Analysis (always shown)
- Call Analysis (shown when total calls > 0)
- Agent Analysis (always shown)
Source Analysis
This tab answers "Where are my leads coming from, and which sources book the most?" Each row is a lead source (for example Angi, Google, your website, or a row called "No source" for leads without a source tag).

You can sort by Audience or Appointments by clicking the column header. Badges call out the source with the most leads and the source with the most appointments. This is where attribution matters most: when every lead is tagged to its source and appointments roll up by source, you can see which channels are actually producing booked jobs, not just form fills.
Call Analysis
This tab shows how AI-handled phone calls ended. It only includes calls that went through your AI voice agent. Calls that went straight to voicemail, were forwarded to a person without AI, or were dialed from the browser softphone are not included here because they never get an AI outcome.
Each call gets one outcome. The main outcomes shown in the bar chart are:

| Message Left | A voicemail or message was left during the call. |
| Resolved | The caller's question was fully handled without needing a booking or transfer. |
| Unresolved | The call ended without a booking, transfer, or full resolution. |
| Voicemail Hit | An outbound call reached voicemail and the AI left a message. |
| Disconnect | The call lasted less than 20 seconds and was not marked as spam. |
| Spam | The AI classified the call as spam. |
| Unknown | The call was handled by AI but no final outcome was assigned yet. |
By default, the checkbox Exclude filtered calls from stats is on. That removes Voicemail Hit, Disconnect, Spam, and Unknown from the percentage bars so you see a cleaner picture of real customer conversations. Turn it off to include everything. Filtered calls always appear in a collapsible Filtered Calls section below the main chart.
If calls are still being processed, you may see a banner like "3 calls awaiting classification." Those are AI-handled calls that do not have a transcript yet. They are not counted as Unknown until processing finishes.
Agent Analysis
This tab shows how each of your AI agents (Lilly for phone, Evan for web and digital leads, Alex for estimate follow-up, Jenna for reviews, and any custom agents you have set up) is performing. Each row is one agent.

| Won | Number of conversations that hit the agent's goal. What counts as "won" depends on the goal (see below). |
| Win Rate | Won ÷ Conversations × 100, rounded to one decimal. Customer Service agents show a dash instead because win rate does not apply. |
What counts as Won changes based on the agent's goal:
- Schedule a Consultation. Won = appointments booked (shown with an "Appointments" label).
- Initiate a Call. Won = conversations where the call was forwarded to a team member (shown as "Calls").
- Trackable or No Link goals. Won = meeting booked flag on the conversation.
- Non-Trackable goals. Won = the lead clicked the call-to-action link.
- Call-type goals. Won = an inbound call was received.
- Sign Document. Won = document signed (shown as "Documents Signed").
- Leave a Review or Visit a Webpage. Won = link clicked.
- Fill out Questionnaire or Customer Service. Won = goal completed.
There is also a Manual row at the bottom for appointments that were booked without going through an agent (for example, booked directly on the calendar). Those show under Won with an "Appointments" label but have zero conversations.
By default only active agents appear. Check Show Inactive Agents to include agents you have turned off. Sales reps cannot see inactive agents.
Live Activity Feed
On the right side of the desktop dashboard (and as a "Recent activity" section on mobile) is the Live Activity feed. It is a real-time timeline of what your agents and team have been doing over the last 24 hours.
What Shows Up
Each entry shows the agent's name and photo, how long ago it happened, a short description, and a View details link that opens the contact record. The feed includes every event, even multiple events from the same lead.

Emails do not appear in Live Activity today. If a lead has no name yet, the feed shows "New Lead" instead.
How It Updates
On desktop, the feed refreshes automatically every 30 seconds. Scroll to the bottom to load older events (up to 200 per page). Timestamps show as "Just now," "5 minutes ago," "2 hours ago," and so on.
On mobile, the feed does not auto-refresh on a timer. Pull down on the Home screen to reload it manually.
Keep in mind: Live Activity is a 24-hour window. For longer trends, use the dashboard time range picker and the analysis tabs. For a single contact's full history, open their record from the View details link.
Who Sees What
Most users see company-wide numbers. Sales reps see only activity for leads they own: their calls, texts, emails, appointments, and live activity entries. Organization admins can roll up across all locations. Only organization admins can switch to the Entire Organization view.
Common Questions
Why does Estimated Revenue show a dash?
The projected revenue is under $10,000 for the selected period. Book more appointments or widen the date range, or lower the average job size in Dashboard assumptions if your typical job is smaller than the default $15,000.
Why is Call Analysis missing?
The tab only appears when you have at least one call in the selected time range. Widen the range or wait for calls to come in.
Why do my appointment totals not match Source Analysis?
Appointments booked without a lead source tag appear in the "No source" row. Appointments booked manually (not through an agent) appear in Agent Analysis under the Manual row but may not tie back to a source.
Does All time really mean everything?
Yes for the big totals. The sparkline charts on each card still chart the last 90 days so you get a readable trend line even when viewing all-time counts.
Your Alivo dashboard gives you one place to see volume (calls, texts, emails, appointments), quality (call outcomes and agent win rates), and source performance (which lead channels book jobs). Use the time range picker to zoom in on a busy week or zoom out for the full picture, and keep Live Activity open for a live pulse on the last 24 hours.
