Call Recording Settings in Alivo
How recording works for inbound and outbound calls, and where to turn it on.
Call recording is simply Alivo keeping an audio file and a written transcript of a phone call so you can listen back, train your team, and check what was said. It matters because those recordings help you settle "who said what" questions and coach your reps, but recording also comes with consent rules that vary by state. This guide walks through what Alivo records out of the box, how the inbound and outbound settings work, how disclosure and storage are handled, and how to turn recording off if you need to.
Heads up: New Alivo accounts and new call flows are set to record by default. If you just got started, your calls are most likely recording already. Read the "What Records by Default" section below and make sure your setup matches the consent rules in the states you work in.
Where the Settings Live
There are two places that control recording, and they work together.
- Company-wide switches. Go to Settings, then Phone System, then Call Recording. These are the master switches for your whole account.
- Per-call-flow switch. Open any call flow in the call flow builder. Each flow has its own recording toggle for the calls that come in through it.
What Records by Default
When a new account or a new call flow is created, recording starts out turned on. Here is what that means in plain terms.
- Record inbound calls: on. Calls coming into your business are set to record.
- Record outbound calls: on. Calls your team places, both from the browser dialer and from the AI outbound dialer, are set to record.
- New call flows: on. Each new call flow you build has its own recording toggle already turned on.
If you had already turned a setting off in the past, Alivo keeps your choice. This default applies when a new account or a new call flow is created, so it is the setting you start from, not something that overrides a preference you already set.
The Two-Level Rule for Inbound Calls
Inbound recording only happens when both switches agree. The company-wide "Record inbound calls" switch has to be on, and the individual call flow's recording toggle has to be on. Because both of these now start out on, inbound calls record without you changing anything. If you want a specific flow to stop recording, turning off that one flow's toggle is enough, even if the company switch stays on.
| Company "Record inbound" | Call flow toggle | Result for that flow |
|---|---|---|
| On | On | Inbound calls record |
| On | Off | That flow does not record |
| Off | On or Off | No inbound calls record |
Disclosure and Consent
Disclosure is the short message that tells a caller the call may be recorded, which is often called the "this call may be recorded" notice. Alivo can play this automatically so callers are informed. On outbound calls, a separate "whisper" notification can let your rep know the call is being recorded before they start talking. Both of these are on by default.
Keep in mind: Some states require that everyone on the call agrees to be recorded, while others only require one person. Alivo gives you the disclosure tools, but the responsibility for following your state's law is yours. When in doubt, leave disclosure on and check the rules for the states where your customers are.
How Long Recordings Are Kept
You can set how long Alivo holds onto recording files before they are removed. Pick a retention window that fits how you actually use recordings and any record-keeping rules you follow, then set it before you go live so you are not storing files longer than you need to.
How to Turn Recording Off
If you would rather not record, you can turn it off at whichever level makes sense.
- Turn off everything: in Settings, Phone System, Call Recording, switch off "Record inbound calls" and "Record outbound calls."
- Turn off one flow only: open that call flow and switch off its recording toggle. Other flows keep recording.
- Keep recording but add notice: leave recording on and make sure disclosure is on so callers are told.
Common Questions
Are my calls recording right now?
If you are on a newer account and have not changed anything, yes. Both the inbound and outbound switches, and each new call flow toggle, start out on. Check Settings, Phone System, Call Recording to confirm.
Does turning on recording tell my callers automatically?
Only if disclosure is on. Disclosure is on by default, but it is worth confirming, especially in states that require everyone on the call to consent.
Can I record some call flows but not others?
Yes. The per-flow toggle lets you record your sales line while leaving a different line unrecorded, as long as the company switch is on.
