Connecting Zoom to Alivo

Link your Zoom account so every video appointment gets its own join link.

Alivo is scheduling software for roofing and home-services contractors, and this integration connects it to Zoom, the video-meeting tool many teams already use. Once your Zoom account is connected, every video appointment booked in Alivo gets its own unique Zoom meeting link automatically, so nobody has to create meetings by hand or paste links into invites. This guide walks through connecting your account, what the integration does once it is on, fixes for the most common hiccups, and how to disconnect it if you ever need to.

Adding the App

Getting connected takes a couple of minutes. Make sure you have the basics in place first, then run through the steps.

What You Need Before You Start

  • An Alivo account with an active subscription.
  • Your own Alivo login. The connection is tied to your user, so you need to be able to sign in yourself.
  • A Zoom account that can create meetings.
  • A connected calendar with working hours set. Your availability comes from your calendar, so connect Google Calendar or Microsoft Calendar in Alivo Apps and set your working hours.

Good to know: a free Zoom Basic account is enough. You do not need a paid Zoom plan for this integration to work.

Connect Your Zoom Account

  1. Go to app.alivo.ai/apps/zoom. If you are not signed in, Alivo shows the login page first, then brings you right back to the Zoom page.
  2. Click Connect with Zoom.
  3. Sign in to Zoom if it asks you to, then click Allow.
  4. You should land back in Alivo Apps on the Zoom page, with the status showing Connected.

The Permissions Alivo Asks For

When you click Allow, Zoom shows you a permission screen listing what Alivo can do with your account. Alivo asks for two things:

  • Read your Zoom user profile. Used only to confirm which Zoom account got connected.
  • Create, update, and delete Zoom meetings. This is what lets Alivo make a meeting for each of your video appointments, change it when a booking moves, and remove it when a booking is canceled.

Using the App

What the Integration Does

With your Zoom account connected, Alivo creates a unique Zoom meeting for every Video Call booking where you are the host. The join link shows up on the booking confirmation and on the calendar event, so you and the customer are looking at the same link. Since Zoom is handling the video, Alivo does not add a Google Meet or Microsoft Teams link to that booking.

What It Does Not Do

A few things stay out of scope, and knowing them up front saves confusion later:

  • Phone Call and In Person bookings never get a Zoom meeting. Only Video Call event types do.
  • A pasted video link wins. If an event type already has a static video link, meaning a link someone typed or pasted in by hand, Alivo uses that link and does not create a new Zoom meeting.
  • Teammates are not connected automatically. The connection is per person, so each host connects their own Zoom account. Yours covers the bookings you host.

How to Use It

  1. Connect Zoom using the steps above.
  2. In Settings, open Event Types and use a Video Call event type with no video link pasted into it, then add yourself as a host.
  3. Book the event. That can happen from Schedule with a manual booking, from one of your booking pages, or through an Alivo agent booking it for you.
  4. Open the confirmation. The location should be a zoom.us join link.
  5. If plans change, reschedule or cancel the booking in Alivo. Alivo updates the Zoom meeting when a booking moves and deletes it when a booking is canceled.

Keep in mind: handle reschedules and cancellations inside Alivo. That is what keeps the Zoom meeting in step with the booking.

Troubleshooting

You Do Not See the Connect Button
Make sure you are signed in to Alivo, then go to app.alivo.ai/apps/zoom again. The Connect with Zoom button only appears once you are logged in.

Zoom Shows Connected, but a Booking Has No Zoom Link
Check three things on that booking: you are the host, the event type is Video Call, and the event type does not have a video link pasted into it. Any one of those will stop a Zoom meeting from being created.

A Google Meet or Microsoft Teams Link Is Showing Up Instead
That means Zoom is not connected for that booking's host, either because it was disconnected or because it was never set up. Once that host connects their own Zoom account, new video bookings they host get Zoom links.

Removing the App

You can turn the integration off from either side. Disconnecting in Alivo stops new Zoom meetings from being created for you. Uninstalling in Zoom revokes Alivo's access to your Zoom account entirely.

Disconnect in Alivo

  1. Go to app.alivo.ai/apps/zoom.
  2. Click Disconnect.

After that, Alivo stops creating, updating, and deleting Zoom meetings for your user. Calendar events that already have a join link keep it unless you change those bookings, and new video bookings no longer get a Zoom meeting.

Uninstall in Zoom

  1. Sign in at zoom.us.
  2. Open your installed apps. Depending on your account, that lives under your account or profile settings, or in the App Marketplace under Manage.
  3. Find Alivo and click Uninstall.

After that, Zoom revokes Alivo's access to your account. You can reconnect any time from the Zoom page in Alivo Apps.

What Happens to Your Account and Bookings

Disconnecting or uninstalling does not delete your Alivo account or any of your past bookings. It also does not touch anyone else on your team: any other host who still has Zoom connected keeps working exactly as before.

The short version: connect Zoom once, use a Video Call event type without a pasted link, and every video appointment you host gets its own Zoom meeting automatically, created when the booking is made and kept in sync when plans change. Each teammate who hosts video calls does the same quick setup, and from there the links take care of themselves.
