AccuLynx Integration in Alivo
What each setting does and how Alivo syncs Contacts, Jobs, and Appointments in AccuLynx.
The AccuLynx integration connects Alivo directly to your AccuLynx account so lead and appointment data flows between the two systems without manual entry. When someone books through Alivo, AccuLynx gets the Contact, Job, Company Representative, and Initial Appointment it needs to keep your pipeline moving. This guide explains every setting you can configure and how each one maps to AccuLynx objects.
AccuLynx Objects Alivo Works With
AccuLynx does not use a standalone "Lead" record the way some CRMs do. A new opportunity is a Job, often at the lead or prospect milestone. Alivo creates and updates these AccuLynx objects:
| AccuLynx Object | When Alivo Creates It | What It Holds |
|---|---|---|
| Contact | New lead (optional) or booking | Name, phone, email, address, contact custom fields |
| Job | Booking | Job address, notes, Lead Source, Job Category, Work Type, Trade Type |
| Company Representative | Booking | The AccuLynx user assigned to the Job (your sales rep) |
| Initial Appointment | Booking (when a rep is assigned) | Inspection date, time, and notes on the Job |
Connection and Integration Type
API Key and Profile Name
You connect AccuLynx with an API key from AccuLynx Settings → Integrations. If you run more than one AccuLynx account (for example, separate regions), you can add multiple profiles in Alivo. Each profile has its own API key and settings. The first profile is named "Default" automatically; additional profiles need a profile name so your team can tell them apart.
Integration Type
This controls whether Alivo reads your AccuLynx calendar, writes CRM records, or both.
- Both. Alivo creates Contacts and Jobs in AccuLynx and reads AccuLynx calendar events to block availability when scheduling.
- Calendar Only. Alivo reads your AccuLynx calendar for availability but does not create Contacts, Jobs, or Appointments.
- CRM Only. Alivo writes records to AccuLynx but does not read the AccuLynx calendar for scheduling.
Configuration Settings
Contact Record Type
Every Contact Alivo creates in AccuLynx gets this record type. Pick the type that matches how you classify new homeowners in AccuLynx.
Sync Contacts on Every New Lead
When this is on, Alivo creates or updates an AccuLynx Contact as soon as a new lead starts a conversation in Alivo, not only when an appointment is booked. This is useful if you want AccuLynx populated early, before the inspection is scheduled. When it is off, the Contact is created at booking time.
Default Owner
The AccuLynx user assigned as the Job's Company Representative when the booked event has no mapped Alivo team member. If you leave this as "None" and no rep is mapped, appointment times go into Job notes or Job messages instead of an Initial Appointment.
User Mapping
Map each Alivo team member to their AccuLynx user account. This does two things: it assigns the right Company Representative on new Jobs, and it tells Alivo whose AccuLynx calendar to read when checking availability.
Calendar Sync
When Integration Type includes calendar reading, choose which AccuLynx appointments block a rep's availability:
- All Events. Every AccuLynx calendar appointment blocks availability.
- Skip Production Events. Material Delivery and Crew/Labor appointments are ignored so production schedules do not block sales appointments.
Custom Field Mappings
AccuLynx uses four built-in choice fields that Alivo can set on every Job. For each one, you select which AccuLynx options are allowed, write a short note so the AI knows when to pick each option, and set a fallback default.
- Lead Source. Maps to the Job's
leadSourcefield. Fallback is required. Alivo can also match this from the lead's source or conversation context before using the fallback. - Job Category. Maps to the Job's
jobCategory. - Work Type. Maps to the Job's
workType. - Trade Type. Maps to the Job's
tradeTypes.
Multiple AccuLynx Profiles
If you connect more than one AccuLynx account, Alivo routes leads to the right profile based on service areas (territories). Each territory can belong to only one profile. One profile is marked as the default for leads that do not match any territory. You can also override the profile on individual routing forms.
Good to know: Two profiles cannot both have "Sync contacts on every new lead" turned on if their territories overlap. Alivo will flag that conflict during setup.
When Data Syncs
| What Happens in Alivo | What Happens in AccuLynx |
|---|---|
| New lead arrives (sync on new lead is on) | Contact created or updated |
| Appointment booked | Contact → Job → Company Rep → Initial Appointment |
| Appointment rescheduled in Alivo | Initial Appointment times updated, or a Job message posted if no rep is assigned |
| Appointment canceled in Alivo | Initial Appointment updated or Job message posted |
| Rep checks availability | AccuLynx calendar read (no write) |
Changes made only in AccuLynx (canceling or rescheduling an appointment there) do not automatically sync back to Alivo through this integration.
AccuLynx is one of the deeper native integrations in Alivo, especially if you run multiple profiles across territories. The settings above control exactly which AccuLynx objects get created, who owns the Job, and how your calendar stays in sync.
